How Reffem uses SMS messaging to facilitate professional reference checks

Our Messaging Principles

Consent-First

We collect explicit consent from every reference before sending any reference request details. References must opt-in by replying YES before receiving further communications.

Transparent Purpose

Every SMS clearly identifies Reffem as the sender, states the purpose of the message, and provides context about the candidate and position being referenced.

Easy Opt-Out

Every message includes clear instructions to reply STOP at any time to opt out and discontinue all future communications.

How Our SMS Process Works

Candidate Acknowledgment

Before any SMS is sent, candidates must provide their reference's information and confirm that they have informed their reference to expect communication from Reffem.

Candidate attestation:

I have informed my reference to expect this SMS from Reffem and I attest that the information provided is correct.

Consent Collection

Before sending any reference request details, we first send a consent request to the reference. The reference must explicitly opt-in by replying YES to receive further communications.

Consent request message:

"Hello [Reference Name], [Candidate Name] has listed you as a professional reference for a job application. Reffem facilitates AI-powered reference checks on behalf of employers.

Reply YES to consent to receiving reference request details and participate. Reply STOP to opt out. Msg & data rates may apply."

Important: No reference request details or call information will be sent until the reference explicitly replies YES to consent.

Reference Request

After the reference replies YES to consent, they receive the full reference request with details about the candidate, position, and instructions for completing the reference call.

Reference request message (after consent):

"Thank you for agreeing to provide a reference for [Candidate Name] applying for [Position].

Whenever you are available for a brief call (approx. 10 minutes), please call (+1-844-XXX-XXXX). The call will be recorded for quality assurance purposes.

Reference Control

References maintain full control over their participation at every step. They can choose to call back when convenient, or opt out at any time.

Call Back

References call the provided number at their convenience to complete the reference check. Calls take approximately 10 minutes and are recorded.

Reply "STOP"

References who reply STOP at any point are immediately opted out. No further SMS messages will be sent, and the reference check will be cancelled.

Types of Messages We Send

Consent Request

The first message sent to a reference, asking for their explicit consent to participate. This message identifies Reffem, names the candidate, and requires a YES reply to proceed. No further messages are sent unless consent is given.

Reference Request

Sent only after the reference replies YES to consent. This message provides full details about the position, the callback number, and instructions for completing the reference call.

Follow-Up Message

If a reference call is disconnected or incomplete, we may send a follow-up message asking the reference to call back to complete the reference check.

Support Response

If you reply to any of our messages (other than YES or STOP), you will receive an automated response with support contact information at support@reffem.com.

Opting Out

You can opt out of SMS communications from Reffem at any time by replying STOP to any message. Once you opt out:

  • You will receive a confirmation that you have been unsubscribed
  • No further SMS messages will be sent to your phone number
  • The reference check request will be cancelled

Message Frequency & Rates

Message Frequency

References typically receive 2-3 messages per reference check: one consent request, and if consent is given, the reference request details. Follow-ups may be sent for incomplete calls. We do not send marketing messages or recurring promotional content.

Message & Data Rates

Standard message and data rates may apply based on your mobile carrier and plan. Reffem does not charge for SMS messages.
